Managing Year-End Holiday Carryover in Givver

As the end of your holiday year approaches, it’s time to review how unused annual leave is handled across your team. With Givver, managing your company’s holiday carryover policy is simple, flexible, and compliant with UK legislation.

This guide explains how carryover works and how you can set it up in Givver to suit your organisation’s needs.

What Is Holiday Carryover?

Holiday carryover refers to any unused annual leave that an employee is allowed to transfer into the next leave year.

Under UK law, full-time employees are entitled to 28 days of paid holiday per year, including bank holidays. Most companies encourage staff to use all their leave within the holiday year, but it’s common to allow some unused days to be carried forward — usually with restrictions on how much and when it must be used.

How Givver Helps You Manage Carryover

Givver gives you complete control over how holiday carryover is managed. You can apply consistent rules across your company or tailor them by team or employee.

Key options in Givver:

  • Set a carryover limit – for example, allow up to 5 days to be carried over

  • Add an expiry date – such as requiring carried-over leave to be used by 31st March

  • Apply policies flexibly – customise by department, role, or individual

  • Automate updates – Givver calculates and applies carryover automatically when the leave year ends

How to Set Up a Carryover Policy in Givver

Let’s say your policy is: Employees can carry forward up to 5 days of unused leave, but they must take it by 31st March of the new holiday year.

In Givver, you would:

  1. Go to SettingsTime Off

  2. Select Holiday Carryover

  3. Set Maximum Carryover to 5 days

  4. Set Use-By Date to 31st March

That’s it — once saved, Givver handles the calculations and applies the rules at year-end automatically.

Communicating the Policy to Your Team

We recommend reminding employees of your carryover policy well before the end of the leave year — ideally in October or November. This gives them time to plan and book any remaining time off.

Givver helps by clearly displaying each employee’s remaining leave and any carried-over days — along with expiry dates. You can also enable reminders to help employees avoid losing leave they’re entitled to.

Making Adjustments

If your policy changes — or you need to make an exception for a specific employee — you can update carryover settings at any time. Givver gives you the flexibility to override default settings as needed.

Legal Considerations

There are certain situations where statutory holiday must be carried forward — for example, if an employee couldn’t take leave due to long-term illness or family-related leave. Givver supports these edge cases too, so you can make manual adjustments and stay compliant.
